They have an immediate opening for the Executive Assistant to their CEO. This is a great opportunity for an experienced C-Level Executive Assistant who will perform secretarial and administrative duties in a C-Suite environment and support the President as well. The Executive Assistant will be responsible for managing schedules, arranging appointments, travel itineraries, meetings, conference calls, etc.
Key Responsibilities include:
Providing the CEO and President with administrative and secretarial support.
Coordinating executive schedules, making appointments and establishing agendas.
Screening executive(s) phone calls and incoming mail.
Arranging and coordinating business travel for executive(s).
Coordinating department or larger group meetings, and arranging use of conference rooms or outside facilities.
Possibly conducting various analytical special projects, especially involving budgets and preparations for senior management and/or other high profile meetings.
Responsible for the preparation of materials for Board of Directors meetings.
Developing, revising and updating complex Excel spreadsheets on a regular and routine basis.
Maintaining and frequently updating databases that the executives use in their day to day activities.
Education & Experience:
A Bachelor’s Degree is a plus, and/or relevant experience as an Executive Assistant supporting CEO and/or President
Experience as an Executive Assistant for a publicly traded company
At least 6 + years C-Suite Office Environment experience is a must
Experience with Board Vantage software a plus
Must be proficient in MS Office Package (Excel, Access, PowerPoint and Word)
Excellent multi-tasking skills

Responsibilities include:
Payroll for about 140 hourly and 55 exempt plus a small staff in Canada
Requirements include:
At least 8 years direct experience in payroll processing in a similar-size environmant, including full cycle, multi-state payroll experience
Experience with MS Navision & Serenic payroll systems is required.
Associates or Bachelor’s degree in Accounting or Business is a plus.
Managing the routine payroll functions and supervising one Payroll Assistant to ensure theaccurate and timely distribution of multi-state domestic payrolls, as well as Canadian and International payrolls.
Processing time, compiling payroll statistics, maintaining payroll control records, recording hours of work, and calculating payrolls on schedule with the Payroll Assistant.
Planing and executing all special payroll activities, such as Year End / W-2 processing, etc.
Ensuring all Payroll Tax Reporting and filings are accurate and completed as required to maintain compliance.
Ensuring that all pay control codes, benefit deductions, etc. are set up and maintained accurately.
Coordinating directly with Accounting Department to ensure that all payroll related transactions and reconciliations are completed and posted on a timely basis.
